Like every council, increasing efficiency and improving the quality of services to customers is a priority for Monmouthshire County Council, who recognised that the increasing number of working parents required more flexible access to council services when it came to applying for school places.

The council opted for Capita One’s Admissions & Transfers Online module which offers any parent with an email address and an internet-enabled PC, the opportunity to apply for a school place at a time to suit them.  The user-friendly software allows parents to save and edit applications and sends confirmation emails to keep parents informed at each stage of the process.

Improving communications will mean the council receives fewer queries – freeing up valuable time for other important tasks. Cath Sheen, School and Student Access Unit Manager, explains: "With budget cuts there is more pressure on resources and if forms haven’t been returned then they need chasing up. With easier access, we hope fewer applications will be late. We also hope the accuracy of our information will improve as parents will input their details directly into the system – saving staff many hours from having to manually enter data from paper application forms."

Tip of the Day

Once letters to parents have been generated through Workflow timelines in CSS, they are then logged automatically, making the letter part of the child's record and easily accessible.
