So much has happened in the last 12 months to B2B:Student that I thought it was a good time to highlight how these new improvements, many of which have originated from change requests, can benefit you and your team. It’s also worth knowing that a number of these are present in the back office data processing of the One portals.
The first significant enhancement we made in Summer 2015 was to the way carers are processed. If a carer matches an existing carer for a child, the person record can be automatically updated and, under some circumstances, new carers can be added automatically. See the video Did you know about the changes to how carers are matched in Capita One?. It’s also worth knowing that if a school removes the parental responsibility flag for a carer the flag is also removed in One when you bring in carer data.
2.Central control of scheduled tasks
One of the most requested enhancements was introduced in Autumn 2015 - the ability for local authorities to control scheduled tasks centrally. The new scheduled tasks functionality offers several features including a wider choice of time options, a ‘snapshot task’ feature, a separate cohort for Looked After Children allowing the automated collection of their attendance files, and improved leaver data collection. It’s now possible to see the type of data included in each file and icons display if the task has been received by SIMS and whether the last task was successful or not. Changes were made to the matching process too which have sped up the initial search. For more details and for a full list of resources, please see my article on MyAccount.
3.Transferring attainment data…
From SIMS schools to One…
B2B Attainment was introduced in Spring 2016 (3.59) - a new scheduled task that will transfer any attainment data held in SIMS where the local authority and the school share the same aspects. This makes it possible to easily collect termly tracking data, Key Stage results and GCSE results from the early hours of results day, all with the minimum of fuss. B2B Attainment utilises the storage and import mechanisms in PULSE so you’ll need licences for both B2B and PULSE - a new B2B Attainment licence needs to be requested from the One Service desk to access this functionality.
NEW for Summer 2016 …from non-SIMS schools to One
The Summer Release introduces a new version of B2B Open - the user interface has been updated and the files supplied by the 3rd party systems are now transferred by the same mechanism as SIMS schools with the phase 2 patch applied. We’ve also added additional validation and reporting to aid customers and other suppliers in verifying the file structure.
4.Safeguarding children and young people
We’re also introducing a number of enhancements, in response to change requests, to help with safeguarding and make conflict resolution more effective, including a new ‘Deleted by School’ tab for students who have been deleted in SIMS, a ‘Match only Active Students’ option, new filtering options and many more – see my full article on MyAccount.
5.Other important updates for this summer
With the Summer 2016 release of SIMS and the two new National Curriculum Years covering early years E1 and E2, primary schools with Early Years Provision need to be on phase 2 transfer, and local authorities need to have upgraded to the 2016 One Summer Release by September.
Also, the XML SIMS to One transfer (Pre phase 2) and B2B Open V3 areas of the V3 Web box will be turned off when local authorities upgrade to the One Autumn Release - XML data exchange isn’t affected by this change.
